Rosemary and Lavender Events provides wedding day management for couples who have planned their own wedding but want an experienced coordinator to bring everything together.

We begin working with you approximately two months before the wedding. During that time, we review your plans, organize the final details, create your wedding day timeline, communicate with your vendors, and prepare to manage the flow of your celebration.

Every Wedding Day Management Package Includes:

Two-Month Planning Check-In

Approximately two months before your wedding, we will meet virtually to review your plans and begin organizing the final details.

During this meeting, we will discuss:

• Your ceremony and reception plans

• Vendor contracts and contact information

• Wedding party and family details

• Décor setup and removal

• Transportation and parking

• Photography priorities

• Reception formalities

• Remaining decisions and potential concerns

• Your wedding day timeline

Venue Walkthrough

Your package includes one venue walkthrough lasting up to 90 minutes.

During the walkthrough, we will review:

• Ceremony and reception layouts

• Processional and recessional routes

• Wedding party staging areas

• Getting-ready spaces

• Vendor entrances and loading areas

• Décor placement

• Catering and bar locations

• Parking and accessibility

• Indoor backup or rain plans

• Setup and cleanup expectations

• End-of-night responsibilities

Whenever possible, the venue walkthrough should include the couple and a venue representative.

Final Details Meeting

Approximately two to three weeks before the wedding, we will meet through Google Meet to confirm the final details of your day.

We will review:

• Final guest count

• Wedding party and family relationships

• Ceremony order

• Vendor arrival and departure times

• Photography schedule

• Reception introductions

• Special dances

• Toasts and speeches

• Meal service

• Cake cutting

• Special traditions

• End-of-night plans

• Who will take home gifts, cards, décor, flowers, alcohol, and personal belongings

Custom Wedding Day Timeline

We will create a detailed master timeline that brings together your vendors, wedding party, ceremony, photography, and reception plans.

Additional timelines may be created for:

• The bride

• The groom

• The wedding party

• The photographer

• Vendors

• Family members with specific responsibilities

Your finalized timeline will be shared with the appropriate vendors before the wedding.

Vendor Coordination

Before the wedding, we will collect vendor contact information and confirm important logistical details.

Vendor communication includes:

• Arrival and departure times

• Setup requirements

• Ceremony and reception timing

• Access and loading instructions

• Special announcements and formalities

• Vendor-specific timeline responsibilities

• Final logistical questions

Rosemary and Lavender Events will become the primary point of contact for wedding day logistics so you, your family, and your wedding party can focus on enjoying the celebration.

Wedding Day Coordination

On your wedding day, we will:

• Serve as the primary contact for vendors

• Keep the wedding day running according to the timeline

• Coordinate vendor arrivals and setup

• Assist with reasonable personal décor placement

• Organize and cue the wedding party

• Coordinate the ceremony processional

• Communicate with the officiant, photographer, DJ, caterer, and venue

• Keep formal events moving smoothly

• Help protect the photography schedule

• Assist with transitions between ceremony, cocktail hour, and reception

• Handle unexpected issues discreetly

• Answer vendor and guest questions

• Make timeline adjustments when necessary

• Coordinate the end-of-night handoff of personal belongings
